Police Officer Resignation Letter Templates
An officer's resignation is a separation with property, casework, and a certification file attached. These templates carry the department-register letter: addressed up the chain, effective per policy, open reports closed out, badge and equipment returned, and a professional close that keeps your standing \u2014 because in law enforcement, how you separate follows your POST record wherever you go next.
The separation letter, squared away.

A sample police officer resignation letter.
Dear [Chief/Sheriff Last Name],
Please accept this letter as formal notice of my resignation from my position as [Rank / Officer] with the [Department Name], effective [Last Day — per department policy].
It has been an honor to serve this department and this community. I am grateful for the training, the trust, and the officers I have served alongside.
Prior to my separation I will complete all open reports and casework, coordinate the return of my badge, credentials, and issued equipment, and assist with any transition the department requires.
Thank you for the opportunity to serve. I wish you and every member of the department safety and success.
Sincerely,
[Your Name]

What an officer's exit involves that others don't.
Four things distinguish a law-enforcement resignation:
- The chain of command — the letter is addressed to the chief or sheriff, but it travels through your supervisor first. Skipping the sergeant is remembered longer than the resignation.
- Open casework — reports completed, evidence documented, and pending court dates flagged. You may still be subpoenaed after separation; leaving the paperwork clean is what makes that painless.
- Issued property — badge, credentials, weapon, and equipment returned against a checklist, with a receipt. The letter’s offer to coordinate it puts you on the right side of the process.
- Your certification file — POST records how you separated. ‘Resigned in good standing’ is a phrase that opens the next department’s door; anything else follows you through every background investigation.
Whatever the reasons for leaving, none go in this letter — a background investigator will read it someday, and the version above is the one you want them to find.
Separating in good standing.
- Check the department’s separation policy for the notice period and required routing.
- Tell your immediate supervisor first, then deliver the letter up the chain as policy directs.
- Close out reports, evidence, and court obligations; flag anything that will outlive your badge number.
- Return issued property against a checklist, with a receipt — and keep the copy.
