Apollo's Templates Privacy Policy

Apollo's Templates ("we," "us," or "our") operates apollostemplates.com (the "Site"), a free library of printable PDF, Word, and PowerPoint templates. This Privacy Policy explains what information we collect, how we use it, and the choices you have. We have written it to be plain and honest: this is a simple, mostly read-only site, and we collect very little.

Scope

This policy applies to information collected through the Site. It does not apply to third-party websites we may link to, which have their own privacy practices.

Information You Type Into Templates Stays on Your Device

This is the most important point for users who download templates that contain confidential information — including any health, legal, financial, or personal information you type into a fax cover sheet, business form, or other fillable template:

  • Fillable PDFs. When you click into a field on one of our PDFs and type, the value you typed is saved inside the local copy of the PDF on your computer. Apollo's Templates does not receive, see, or store anything you type.
  • Microsoft Word and PowerPoint templates. These open in your local copy of Word, Google Docs, LibreOffice, or PowerPoint. Anything you customize stays in the saved file on your machine.
  • In-browser generators. Tools like the bingo card builder, photo calendar, sport cards, and similar pages run entirely in your browser using JavaScript. Photos, names, and text you supply to a generator are processed locally and never uploaded to our servers.

Because content typed into a template is processed only on your device, we never see Protected Health Information (PHI), legally privileged content, or any other sensitive information that ends up in a finished template. Apollo's Templates is not a HIPAA Business Associate and does not enter into Business Associate Agreements.

What We Do Collect (and Why)

To run the Site we use Google Analytics 4 (GA4) for aggregate, privacy-respecting traffic analytics. GA4 lets us see things like how many people visit which pages, how visitors arrive (direct, search, referral), and roughly where in the world traffic comes from. Google's GA4 implementation on the Site uses cookieless measurement where possible and stores limited identifiers in your browser. You can opt out of GA tracking by installing Google's opt-out browser add-on or by enabling Do Not Track / Global Privacy Control in your browser.

On the contact page only, we use Google reCAPTCHA v3 to detect automated submissions and reduce spam. reCAPTCHA evaluates risk signals — including limited browser and interaction information — and sets cookies for that purpose. reCAPTCHA is loaded only on the contact page; it is not loaded anywhere else on the Site. Your use of reCAPTCHA is subject to the Google Privacy Policy and Terms of Service.

We do not do any of the following:

  • We do not require you to create an account to browse or download templates.
  • We do not sell products on the Site, so we do not collect payment, billing, or shipping information.
  • We do not sell, rent, or trade your personal information to anyone, for any purpose.

Cookies and Similar Technologies

Beyond the limited cookies and identifiers used by Google Analytics described above, the Site does not set its own cookies or use localStorage / sessionStorage to identify you across visits. We do not display a cookie consent banner because we do not currently operate the Site in a way that requires one for visitors outside the EU/UK; if you reside in the EU/UK and would like us to suppress GA on your visit, please contact us using the information below and we will document the request.

Information You Choose to Provide

If you contact us directly — for example, by email or by using a contact form we make available on the Site — we will receive the information you choose to include, such as your name, email address, and the contents of your message. We use that information only to respond to you and to keep a record of the correspondence.

Server Logs

Like most websites, our hosting provider automatically records basic technical information when a page is requested, such as the IP address making the request, the browser type, the page requested, and the date and time. These logs are used for security, abuse prevention, and basic troubleshooting, and are retained only for as long as reasonably necessary for those purposes.

How We Use Information

We use the limited information described above to:

  • operate, maintain, and secure the Site;
  • respond to questions, feedback, or support requests; and
  • comply with legal obligations.

How We Share Information

We do not sell or rent personal information. We may share information only in the following limited circumstances:

  • Service providers: with vendors who host the Site or deliver email on our behalf, and only to the extent needed to provide those services.
  • Legal requirements: when required by law, subpoena, or valid legal process, or to protect the rights, safety, or property of Apollo's Templates or others.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, in which case we will take reasonable steps to ensure continued protection of your information.

Children's Privacy

The Site is a general-audience site and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

Your Rights and Choices

Depending on where you live, you may have rights regarding your personal information under laws such as the California Consumer Privacy Act (CCPA/CPRA), the EU and UK General Data Protection Regulation (GDPR), and similar state privacy laws. These rights may include:

  • the right to know what personal information we hold about you;
  • the right to request a copy, correction, or deletion of that information;
  • the right to opt out of the sale or sharing of personal information (we do not sell or share personal information); and
  • the right not to be discriminated against for exercising these rights.

To exercise any of these rights, contact us using the information below. We will respond within the time period required by applicable law. We may need to verify your identity before fulfilling certain requests.

Do Not Track

We do not currently respond to browser "Do Not Track" or Global Privacy Control signals in any distinctive way. You can limit Google Analytics tracking via the opt-out add-on linked above, and most browser-level ad blockers will suppress third-party scripts on the Site.

Data Security

We use reasonable administrative and technical safeguards designed to protect information transmitted to and from the Site, including HTTPS for all traffic. No method of transmission over the internet is completely secure, however, and we cannot guarantee absolute security.

International Visitors

The Site is operated from the United States. If you access it from outside the United States, you understand that your information may be processed in the United States, which may have different data-protection rules than your country of residence.

Changes to This Privacy Policy

If we make material changes to this policy, we will update the "Last updated" date at the top of this page and, where appropriate, provide additional notice. We encourage you to review this page periodically.
