How parsing works

What makes a resume ATS-friendly.

An ATS converts your file to plain text, then looks for sections and keywords. Everything that goes wrong goes wrong in that conversion. The rules that keep it clean:

  • Standard section headings. Experience, Education, Skills, Summary — parsers are trained on those words. ’Where I’ve Been’ is charming and invisible.
  • Real text everywhere. No text boxes, no headers/footers holding your contact info, no images with text in them. If you can’t select it with the cursor, the ATS can’t read it.
  • One reading order. Single column, or a two-column table with a clear left-to-right order. Every template on this page is single-column.
  • Dates and titles in the same order each time. Job title, company, dates — consistently. Parsers build your work history from that pattern.
  • Keywords from the posting, spelled the same way. If the job says ’Salesforce’ and ’account management’, say exactly that. Don’t rely on synonyms.

Every design in the library is built on these rules; the twelve above are the strictest. Sending a PDF? Fine — every major ATS parses PDF text. Sending Word? Also fine; some portals prefer it. Just never send an image or a scan. For tech applicants, the software engineer templates are single-column by design.

What is an ATS resume?
A resume formatted so an applicant tracking system — the software employers use to store and screen applications — can read it accurately: standard headings, real text, a single reading order, and the posting's keywords. It's not a special format; it's a resume without the things that break parsers.
What is the best ATS-friendly resume format?
Single column, reverse-chronological, with Summary / Experience / Education / Skills headings, submitted as a PDF or .docx. That's the format every template on this page uses. Functional (skills-first) resumes parse fine too, but recruiters trust chronological ones more.
Do applicant tracking systems read tables and columns?
Modern ones handle simple tables and two-column layouts with a clear reading order; older ones can scramble them. Single-column is zero-risk, which is why this page is single-column only. If you love a two-column design, run the copy-paste test above before sending it.
Is there a free ATS resume checker or scanner?
The most reliable free check is the copy-paste test on this page — it shows you literally what a parser extracts. Commercial 'ATS scanners' mostly compare your text to the job posting for keyword overlap, which you can do yourself by reading the posting and matching its terms exactly.
Should I send an ATS resume as PDF or Word?
Either works with modern systems; PDF is the safer default because it locks the layout. Follow the portal's instructions if it specifies. Never send a scanned image or a resume built as a graphic — those are unreadable to every ATS.
Do keywords really matter for ATS?
Yes — many systems rank or filter on how well the resume text matches the posting. Use the posting's exact terms for skills, tools, and certifications, and spell out acronyms once ('Certified Nursing Assistant (CNA)'). Don't stuff: a keyword list with no context reads badly to the human who sees it next.
