Free Reference Letter Templates
Someone asked you to vouch for them — for a job, a lease, a courtroom, a home study — and the blank page is the hard part. Every template here contains a complete reference letter with bracketed prompts that pull the specifics only you have: how you know them, for how long, and the one concrete story that makes a reference believable. Pick a design below, or jump straight to the letter for your exact situation.
The general reference letter.
The all-purpose version — To Whom It May Concern, relationship, qualities, one concrete example, contact offer — dressed in eight letterheads from bare minimalist to bold banner.
The letter for your exact case.
Twenty focused pages — each with letters actually written for that situation, not the general letter with a new title.
Reference letter or recommendation letter?
The two get confused constantly, and the difference decides which document you should be holding. A reference letter vouches for a person in general — usually “To Whom It May Concern,” reusable across applications, focused on character and verified habits. A recommendation letter advocates for one specific opportunity: it names the job or program and argues the fit.
- Asked for “a reference” or “references”? These templates are exactly that.
- Asked to support a specific application? Start from the situation page closest to it — the court, rental, and academy letters here are already opportunity-specific.
- Graduate school or fellowship? That’s the tailored recommendation genre — mention the program by name and argue the fit in the middle paragraph.
The good news: the bones are identical — standing, evidence, one page, contact line. Master the reference letter and the recommendation letter is one paragraph of tailoring away.
Why these letters are pre-written.
The first reference letter I ever wrote took me two evenings — not because I didn’t know the person, but because I didn’t know what the reader needed from me. That’s the problem with every guide that hands you an outline: you still face the blank page. So we write the whole letter, and the brackets ask you only for the things you actually know — the years, the relationship, the one story. Twenty minutes, done, and it sounds like you.— David, Apollo’s Templates
