What screeners scan for

Three questions behind every application.

Every rental decision reduces to three questions — will rent arrive, will the unit be cared for, will the neighbors be at peace — and each letter above answers them from a different authority:

Payment history — only a previous landlord can certify it, which is why that letter anchors the file. Ask for it even from a so-so tenancy; honest beats absent.
Income stability — the employer letter turns a pay stub into a person: position, tenure, standing.
Habits at home — the personal letter from someone who has actually visited fills the gap no document covers.

For co-op boards, add the fourth letter — boards read for neighborliness above all, and a letter that speaks to community carries further than one about money.

What should a landlord reference letter include?

The facts a future landlord can act on: the property address, tenancy dates, whether rent was paid on time, the condition of the unit at move-out, whether the deposit was returned, and — the sentence that matters most — whether you would rent to this tenant again. Our landlord template is organized around exactly those lines. Skip personality commentary; payment and care are the whole story.

Who should write my personal reference for an apartment?

Someone who has actually spent time in your current home — that's the credential. A friend who can say “I've visited for years; it's kept clean, quiet, and cared for” gives a screener the one data point no document provides. Avoid roommates (conflict of interest) and family (assumed bias); a longtime friend or former neighbor reads best.

What do co-op boards want that regular landlords don't?

Boards are approving a neighbor and co-owner, not just a payer — so they read for quiet habits, financial conservatism, and community temperament. References from people who can speak to how you live in a building — committee service, consideration, being known by the staff — carry particular weight. The co-op template is written in that register.

Can I write my own reference and have someone sign it?

Draft-for-signature is common and fine — busy landlords and employers often prefer it — as long as the signer reads it, agrees with every line, and would say the same if called. Fill the template honestly, send it to them for review, and let them adjust anything. What you must never do is sign it for them; verification calls happen.

What is a rental reference letter sample?
