The difference between a heartfelt letter and an awkward one is specificity, not volume:

  • Name one real thing — the mentor, the project, the chance you were given. One named memory outweighs three paragraphs of adjectives.
  • Frame the leaving as toward, not away — “a new chapter calls” keeps the warmth honest without inviting a counteroffer conversation.
  • Let the finish carry the feeling — “I want to leave this team as strong as I found it” is gratitude expressed as behavior, which is the kind managers remember.
  • Stop at one page — the letter opens the goodbye; the real farewells happen in person, where they belong.

How emotional is too emotional for a resignation letter?
The letter should read warm, not raw. A good test: every sentence should be one you'd be comfortable having read aloud at a staff meeting — genuine gratitude passes, inside jokes and tears don't. Name real things, keep the register professional, and let the intensity live in the in-person goodbyes.
