Worth knowing

Repair tickets sell replacements.

The most profitable sentence in HVAC — “you’ve spent $1,100 on this unit in eighteen months” — only exists if the tickets do. Itemized, serial-stamped invoices accumulate into the case for replacement, made in the customer’s own numbers rather than a salesman’s pitch. Write every small call like it’s evidence, because eventually it is.

Photograph the nameplate on every new customer’s unit and file it with the first invoice. Model and serial from a photo beat a ladder trip every future call, and the office can quote warranty status while the truck is still driving.

How do I explain the service call fee when the fix took ten minutes?
The fee prices the visit, not the minutes: a rolling truck, a trained tech, and the diagnosis that made it a ten-minute fix. Print it as its own labeled line — exactly what this sheet does — and state it when booking. Fee surprises, not fee amounts, are what generate the one-star reviews.
How should refrigerant show up on the bill?
As its own line with type and quantity — “R-410A, 2 lbs” — priced per pound. It's often the biggest material number on a cooling call and the one customers google, so vagueness reads badly. The EPA Section 608 note in the footer signals the handling was legal, which matters on resale and on disputes.
What goes on the invoice for maintenance-agreement visits?
The visit still gets a ticket: covered items at $0 with “per agreement” in the notes, plus any parts outside coverage billed normally. Zero-dollar lines feel odd to write and are exactly the point — they show the agreement paying for itself, which is what renews it.
Why record make, model, and serial every time?
Because HVAC warranty claims live and die on the serial number and install date, and because the paper trail on a specific unit — three capacitor calls in two summers — is your best evidence when it's time to recommend replacement. The invoice stack becomes the unit's medical chart.
