24-Hour Shift Timesheet Template

Ordinary timesheets break at midnight \u2014 a 10 PM to 6 AM shift computes as negative eight hours. This one doesn't: the hours formula wraps past midnight, so overnight and rotating shifts total correctly, a shift column labels each row day, swing, or night, and a night-hours column feeds a differential pay line at whatever percent your workplace pays. Overtime still splits at 40 per workweek; a shift belongs to the day it starts.

Worth knowing

Midnight is where timesheet math goes wrong.

Most spreadsheet timesheets subtract time-in from time-out, which works until the shift ends on a different calendar day and the result goes negative or wraps to nonsense. Healthcare, security, manufacturing, and hospitality run around the clock and have quietly hand-corrected that error for decades. The formula here wraps at 24 hours by construction, so the night shift totals eight without anyone fixing it.

Write the differential window into the sheet’s header when you issue it — “Night hours = 11 PM to 7 AM” — so staff count the same hours the same way. Differential disputes are almost always about the window, not the percent.

Frequently asked questions

Which day does an overnight shift belong to?
The day it starts — the near-universal payroll convention and what this sheet assumes. A Friday 10 PM to Saturday 6 AM shift is eight Friday hours. It matters at the workweek boundary: if the workweek ends Saturday night, a Saturday overnight shift lands entirely in that week even though most of it happens Sunday morning.
How does the night differential work here?
Type the percent your workplace pays — 10% and 15% are common — in the header, and per row enter the hours that fall inside the differential window (often 11 PM to 7 AM, but it's your policy). Night hours times rate times the percent becomes the differential pay line, added on top of base pay and overtime. Blank the percent and the line drops out.
Does overtime still apply on top of a shift differential?
Yes, and technically the differential is part of the regular rate the overtime premium is computed on. This sheet applies the 1.5× premium to base pay and adds the differential as a flat line — the standard small-employer simplification. Payroll systems that blend the differential into the overtime rate will come out a few dollars higher; for exact compliance on heavy-overtime weeks, defer to payroll.
Can I use this for 12-hour and rotating schedules?
That's what it's for. Twelve-hour shifts, 3-on-4-off rotations, and swing-to-night transitions all just need correct in and out times; the shift column keeps the pattern readable. For a whole unit's rotation on one page, the multiple-employee sheet handles the crew view.
