Free Administrative Assistant Cover Letter Templates

An administrative assistant's cover letter is judged twice: once for what it says, and once for what it is — because a role built on written communication, accuracy, and polish is being auditioned by the document itself. These three templates carry a letter that shows the scope of who you supported, the tools you run, and one system you built that outlived you — in prose clean enough to pass the second judging.

Three admin letters

The letter is the work sample. These pass.

Classic in graphite for corporate and legal offices, Sidebar in mulberry with a strengths rail for skills-forward applications, Contemporary in copper for startups and creative teams. Same scope-and-systems letter inside.

Admin Assistant — Classic Graphite
The centered serif letterhead in quiet graphite — precise and traditional, right for corporate, legal, and financial-office applications.
Admin Assistant — Sidebar Mulberry
A full-height mulberry rail holds your contact details and four core strengths — calendar mastery, tools, discretion — beside the letter body.
Admin Assistant — Contemporary Copper
A clean accent-rule header in warm copper — organized with personality, suited to startups, agencies, and creative-team support roles.
The double reading

Your letter is being read — and inspected.

Admin hiring is the one place where the cover letter is literally a job simulation: a document that must be organized, accurate, and polished, produced by the person who’ll produce the office’s documents. Write it knowing both readings are happening:

  • Scope before duties. Whom you supported and how many, before what you did. “Supported the CFO and a 12-person finance team” frames every sentence that follows.
  • Systems, not tasks. Anyone can book travel; you built the travel-preferences doc that made every booking right the first time. The system you leave behind is the strongest line in the letter.
  • Tools tied to results. Name the suite and two specifics with outcomes. Skip the ten-program list.
  • Flawless mechanics. Read it aloud, then have someone else read it. In this field a stray comma outweighs a strong paragraph — unfair, and true.

One word to include somewhere:discretion. Executives notice its presence and its absence — it’s the trait they can’t train.

Make it yours

Fill it in.

  1. Open a template in Google Docs or download the Word file.
  2. Lead with scope — whom and how many you supported — then one system you built with its result.
  3. Tie each tool to an outcome, and proofread twice: in admin hiring the letter is a work sample.
  4. Pair it with a matching admin assistant resume and export both as PDFs.
Common questions

Administrative Assistant cover letter FAQ

What should an administrative assistant cover letter include?
Scope, tools, and one system. Scope: whom and how many you supported ('three VPs and a team of forty'). Tools: the suite plus specifics — Microsoft 365 or Google Workspace, Concur, the phone system, the booking platform. And one system you built or fixed that outlived you: the onboarding checklist still in use, the vendor renegotiation that saved real money, the calendar protocol that ended double-bookings. That trio tells a hiring manager exactly what Monday looks like with you in the chair.
How formal should an admin assistant cover letter be?
Match the office you're applying to — a law firm gets full business formality, a startup gets warm-professional — but when in doubt, err formal: this is one of the few roles where the reader is explicitly grading your written communication. What's non-negotiable at any formality level is mechanics: perfect spelling, clean punctuation, consistent formatting. In admin hiring, a typo isn't a typo; it's a work sample.
How do I write an admin cover letter when I'm coming from another field?
Mine your history for coordination evidence — every field has it. Scheduling shifts in retail, coordinating vendors for events, maintaining records in healthcare, managing a classroom's paperwork: all of it is administrative work without the title. Name two concrete examples with scale ('coordinated travel and lodging for a 30-person tournament team'), state your software fluency honestly, and let the letter's own organization make the rest of the argument.
How do I show software skills without just listing programs?
Attach each tool to a result: 'built the team's Concur expense workflow,' 'maintain the master calendar for three executives in Outlook,' 'migrated our vendor records to Airtable and cut lookup time in half.' A bare list ('proficient in Word, Excel, PowerPoint…') is wallpaper — every applicant claims it. A tool tied to a system you ran is evidence, and two or three of those beat a list of ten.
What do executives actually screen for when hiring their assistant?
Anticipation and discretion, in that order — and both are hard to claim directly without sounding canned. Show anticipation through your systems ('rebuilt the meeting-prep checklist so briefings landed a day early') and discretion through the confidence of your prose plus a single word about handling confidential material. And the screen behind the screen: an error-free, well-organized letter. Executives reject on typos here faster than in any other hiring.
