Resignation Email Templates

Most resignations travel by email eventually \u2014 as the follow-up that documents the conversation, or as the channel itself when your manager is remote. These templates carry a letter compact enough to paste straight into the email body, plus everything the format needs done right: a subject line that says what it is, the paste-or-attach decision, and the timestamp that quietly becomes your proof of notice.

Getting the email version right.

The email resignation has its own small craft:

  • The subject line is not creative writing — “Resignation — [Your Name]” or “Notice of Resignation — [Your Name], [Date]”. Findable in a search three years from now is the whole goal.
  • Body, attachment, or both — pasting the letter into the body makes it readable on a phone; attaching the PDF makes it filable. The professional maximum: short body carrying the key sentence and date, formal PDF attached.
  • The conversation still comes first — email documents the resignation; it shouldn’t break the news when a call is possible. Remote teams: a video call, then the email “confirming our conversation.”
  • The timestamp is a feature — your notice period starts from a provable moment. Send it while the conversation is fresh, cc yourself or keep the sent copy, and the was-notice-given question can never arise.

Send from your personal address or your work one? Work address for the official record (that’s where HR lives), with a bcc or forward to your personal email — because your work inbox stops being yours on your last day.

  2. Subject: “Resignation — [Your Name]”. Body: the pasted letter or a short note with the PDF attached.
  3. Send to your manager, cc HR if policy says so, and forward a copy to your personal email.
  4. Ask for a reply acknowledging receipt — one line that closes the notice question forever.

Is it acceptable to resign by email?
Yes, in three widening circumstances: as the written record following an in-person or phone conversation (the modern default everywhere); as the primary channel in remote and distributed teams where email is how official things happen; and as the practical channel when your manager is unreachable during your notice window. What remains poor form is the surprise email for a manager ten steps away. The channel isn't the etiquette — the conversation-first sequence is.
What's the best subject line for a resignation email?
Boring and unambiguous: 'Resignation — [Your Name]' is the standard, with 'Notice of Resignation — [Your Name], effective [Date]' as the fuller version. HR will search for this email during offboarding, your manager will forward it, and a filter will file it — clarity serves every reader. Avoid soft openers like 'Some news' or 'Quick chat?' — a resignation buried under a vague subject reads as either nervous or coy, and neither is the impression you're going for.
Should I paste the letter in the email or attach it as a PDF?
Both, in their roles: a concise body that carries the operative sentence ('I'm resigning from my position as [title], effective [date]') so no one has to open anything to know what happened, and the formal letter attached as a PDF for the file. If you choose only one, paste — an email whose meaning requires opening an attachment annoys exactly the people you're trying to leave gracefully. The minimalist template here is written to paste cleanly; the letterhead version makes the handsome attachment.
Does an emailed resignation count legally as written notice?
In ordinary employment, yes — email is written notice, and its timestamp plus your sent copy make it the best-documented notice there is. Ask for a brief acknowledgment reply to close the loop. The exception to check: contracts and formal workplaces sometimes specify how notice must be delivered (to a named officer, by letter, to a physical address). If your agreement has a notice-delivery clause, follow it exactly and let the email be the courtesy copy.
