Why the Word file

A resignation letter is the .docx use case.

Plenty of documents have moved to the cloud, but this one still wants to be a file on your machine:

  • It’s private. A resignation drafted in your work Google account is a resignation your employer technically hosts. A .docx on your own computer stays yours until the moment you deliver it.
  • You’ll print it. Handing a signed page to your manager is still the gold-standard delivery — and Word’s print preview shows exactly what the paper will say.
  • HR wants a record. The PDF you export is dated, uneditable, and file-ready — the version personnel files are built on.
  • No sync, no history. No revision trail, no shared-drive surprises, no draft visible anywhere before you’re ready.

The clean sequence: draft the .docx at home, sleep on it once, export the PDF, tell your manager, deliver the letter. Word is quietly the right tool for four of those five steps.

How do I edit a resignation letter template in Word?
Download the .docx, open it, and replace the [bracketed] prompts — your manager's name, your job title, the company, and your last day. The letter around the brackets is already written and the formatting is already set, so a careful pass takes about five minutes. Save the master, then export the PDF you'll actually hand over.
Which versions of Word do these files work with?
Anything that opens .docx: Word 2010 onward, Microsoft 365, Word for Mac, and the free Word for the web at office.com. There are no macros or add-ins in these files — each is a plain document. If an older installation opens it in Compatibility Mode, it still edits and prints normally.
Can I use these without paying for Microsoft Word?
Yes. Word for the web is free with any Microsoft account — upload the .docx to OneDrive and edit in the browser. LibreOffice opens these files cleanly too, and Google Docs imports them if that's your ecosystem. The download itself is free either way: no account with us, no watermark on the page.
Should I print the letter or email it as an attachment?
After you've told your manager in person, either works — and doing both is common: hand over a signed printed copy, then email the PDF so HR has a dated digital record. Word handles both ends of that: print straight from the file for the physical copy, and File → Save As → PDF for the attachment. Avoid emailing the raw .docx; a PDF can't be accidentally edited.
Do I sign a resignation letter, and how, if it's digital?
A printed letter gets a pen signature above your typed name — that's the traditional and safest form. For an emailed PDF, your typed name is generally sufficient; if you want the ink look, sign a printed copy and scan it, or insert a scanned signature image in Word before exporting. What makes the letter binding isn't the ink, it's the delivery — dated and in writing.
